Attending your Sessions, Cancellations and Fees

Sessions & Fees: Sessions last 50 minutes and cost £80.

Payment:

  • Bank Transfer: Payable at least 24 hours prior to your session.

  • Monthly Payments: Invoiced 24 hours before your final session of the month, payable on receipt.

  • Cash: Payable at the start or end of your session.

  • Outstanding Fees: Fees must be settled before further sessions can be booked. Unpaid fees may result in the pause or ending of our work.

  • Fee Adjustments: Session fees may increase at the start of each financial year. You will receive at least 2 months’ notice of any change.

Cancellations: A minimum of 48 hours’ notice is required to cancel. Rescheduling is available within 48 hours if there is availability within the same week. Where 48 hours is not given, the full session fee applies. This includes extended/double sessions. There are no exemptions for illness (including COVID-19); however, if you are well enough, we can switch a face-to-face appointment to Zoom. If I need to cancel, I will give as much notice as possible, offer an alternative, and no fee will be charged.

Session Boundaries: Please attend free from the influence of alcohol or non-prescribed drugs, as these impact your ability to connect and engage safely. Violence or aggression towards me or the premises will not be tolerated.

Working Online & Communication

  • Zoom Setup: If working online, you are responsible for ensuring you are in a quiet, private space where you will not be overheard, and that you have a stable internet connection. Sessions must not be recorded (audio or video) by either party. If technical issues interrupt our call, I will attempt to reconnect within 5 minutes; if Zoom fails, we will complete the remainder of our session via phone.

  • Contact Outside Sessions: You can reach me by telephone (09:30–17:30, Mon–Thu) or email. I aim to respond to calls within 24 working hours and emails within 24 hours. Outside contact is for administrative purposes only (e.g., scheduling). I am unable to offer therapy, advice, or ongoing session reflections over email or phone.

  • Social Media: I run professional social media platforms for wellbeing and mental health education. You are welcome to engage with these if it feels safe for you. To protect your privacy, I will never acknowledge or discuss our therapeutic relationship on social media. If you message me privately on social media, I will ask to move the conversation to email to keep your data secure.

Confidentiality, Emergency & Scope

What you share in therapy is strictly confidential. However, there are specific, legal, and ethical limits to this:

  • Risk of Harm: If I believe you or someone else is at immediate and serious risk of harm, I may contact your GP or emergency services. Where possible and safe, I will always discuss this with you first.

  • Statutory Legal Limits: By UK law, I am required to disclose information relating to acts of terrorism, money laundering, or drug trafficking to the relevant authorities.

  • Supervision: In line with NCPS requirements, I undertake regular professional supervision to ensure high standards of care. Key aspects of our work are discussed anonymously. Audio recordings are occasionally used for supervision with your explicit, prior consent and are deleted immediately after processing.

  • Emergency & Crisis: Therapy is not a crisis service. I collect your GP and Emergency Contact details at intake. In an emergency outside of our sessions, please contact your GP, call NHS 111/999, or present to your local A&E (click here for further online support)

  • Reports & External Requests: Clinical notes are kept solely for session recall and progress. I do not provide court reports, legal statements, PIP/benefit supporting letters, or character references. Any additional administrative requests or documentation work requested will incur an administrative fee.

Data Protection & Privacy (UK GDPR & ICO)

As an ICO-registered Data Controller, I am committed to keeping your personal data secure.

  • Data Processing Basis: Your contact information and billing details are processed under Contract. Your clinical notes and health details (Special Category Data) are processed under Health or Social Care Treatment (UK GDPR Article 9) to provide you with safe, professional therapy.

  • Intake Information Collected: I collect your full name, address, telephone number, email, date of birth, GP details, and Emergency Contact via my secure digital intake form.

  • Software & Third-Party Processors: Your data is processed securely across the following platforms:

    • Bacpac: Secure, encrypted software used for recording and storing clinical notes.

    • Google Workspace: Used for business email, calendar bookings, and cloud storage (held under Google Business terms).

    • FreeAgent & Mettle (NatWest): Used for financial management, invoicing, and bank transfers.

    • Zoom: Encrypted video platform used for online therapy sessions.

  • Retention: In line with my insurance provider (Balens) and legal guidelines, client records and clinical notes are retained for 7 years following the end of therapy for adult clients, or for 7 years after a young person reaches age 18 (until age 25), after which they are securely deleted.

  • Your Rights: Under UK GDPR, you have the right to access your notes (Subject Access Request), request corrections, and lodge a concern regarding data handling with the Information Commissioner’s Office (ICO) at www.ico.org.uk.

  • Clinical Will: In the event of my sudden illness, incapacitation, or death, a nominated Clinical Trustee (a qualified colleague bound by strict confidentiality) will be granted access to your contact details solely to inform you and support your ongoing care.

Endings

Endings are an important part of the therapeutic process. I request a minimum of 2 sessions’ notice if you wish to finish therapy, allowing us to bring our work to a safe and positive close.

Our work will also be considered terminated if:

  • You do not attend a session and do not make contact within 7 days.

  • We have no contact or booked sessions for 2 weeks (unless pre-arranged).

  • Outstanding session fees remain unpaid.

In these cases, I will write to you to formally confirm that our therapeutic agreement has ended.

Professional Standards & Complaints

I am a registered member of the National Counselling and Psychotherapy Society (NCPS) and adhere strictly to their Code of Ethics.

If you ever have concerns about our work, I encourage you to raise them with me directly so we can discuss and address them together. If an issue cannot be resolved informally, or if you feel unable to bring it to me, you have the right to submit a formal complaint to the NCPS Professional Conduct Department via conduct@ncps.com or through their website ([www.ncps.com](https://www.ncps.com)).

I am required by law to obtain your consent for the use of your personal information. Please take some time to complete the GDPR agreement in this link, as this will save time in our sessions. The link will take you to a Google form which is also used to gather important information and where you can accept the therapy agreement terms.
